Sojourn RV Service Terms & Conditions

Sojourn RV Service Terms & Conditions

1. Acceptance of Terms

By approving an estimate, authorizing work, scheduling service, requesting diagnosis, accepting service, or making payment, the customer acknowledges and agrees to these Terms & Conditions.

2. Estimates & Time-and-Materials Work

All estimates are provided in good faith based upon information available at the time of inspection. Estimates are not guarantees of final cost.

RV systems are complex and frequently contain concealed defects, prior repairs, undocumented modifications, wear-related failures, and interconnected components. Diagnosis or repair of one component may reveal additional defects or failures that were not visible, testable, or reasonably discoverable during the initial inspection.

Estimates involving water intrusion, plumbing systems, propane systems, electrical systems, structural repairs, slide-out systems, rodent damage, delamination, wall rot, and similar conditions are inherently limited until disassembly and testing are completed.

Labor is billed for actual time spent performing authorized work. Diagnostic time, repair time, material procurement, project-related communication, testing, verification, documentation, and other project-related activities may be billable. Non-project-related breaks and personal activities are not billable.

Material pricing is based upon current availability and market conditions and may change without notice.

3. Diagnostic Services

Diagnostic and troubleshooting services are billable regardless of whether a repair is ultimately authorized, completed, successful, or economically practical. The purpose of diagnostic services is to identify, isolate, verify, or eliminate potential causes of a reported concern. Time spent performing these services constitutes a completed professional service and is billable accordingly.

Many RV systems cannot be fully tested, pressure tested, leak tested, or operationally verified until partial repairs have been completed. Discovery of additional defects after initial repairs does not indicate that the initial repair was unnecessary and does not relieve the customer of responsibility for labor, materials, diagnostic time, or repairs already performed.

4. Authorization of Repairs

During the course of diagnosis or repair, additional defects or necessary repairs may be discovered.

Sojourn RV Service may proceed with additional work without further authorization when the additional cost does not exceed one (1) hour of labor and $250 in parts or materials.

If anticipated additional costs exceed either threshold, Sojourn RV Service will make a reasonable effort to obtain customer approval before proceeding.

If the customer cannot be reached and delaying repairs would create a safety concern, risk additional damage, prevent proper reassembly, or expose the RV to weather or other hazards, Sojourn RV Service may take reasonable steps necessary to secure the RV and stabilize the condition. Such work shall be billable at standard rates.

Customer approval may be provided verbally, electronically, in writing, or through any other reasonable means of communication.

5. Customer Responsibilities

The customer is responsible for providing safe and reasonable access to the RV and work area.

The customer is responsible for obtaining all necessary permissions, site access, campground approvals, storage facility approvals, utility access, and property owner authorization required for Sojourn RV Service to perform the requested work.

When applicable, customers shall provide reasonably necessary utilities including electrical power, water, propane, sewer access, internet connectivity, or other resources necessary to perform diagnosis, testing, verification, or repairs unless alternative arrangements have been expressly communicated in advance.

Customers are responsible for securing pets and maintaining safe working conditions.

If personal belongings, storage compartments, furniture, cargo, or accessories must be removed to facilitate repairs, time spent performing such tasks may be billed at standard labor rates.

The customer may authorize work to proceed in their absence. Such authorization must be provided in writing. The customer remains responsible for all approved charges regardless of whether they are present during service.

6. Mobile Service Policies

Appointments canceled with less than twenty-four (24) hours notice, customer no-shows, inaccessible RVs, denied site access, unsecured animals, unavailable utilities previously represented as available, or other customer-caused conditions preventing work may result in a cancellation charge equal to the standard service call fee applicable to the scheduled location.

Service call fees, trip charges, diagnostic charges, and minimum service charges are earned upon dispatch and arrival and may be non-refundable.

Sojourn RV Service reserves the right to suspend, postpone, or discontinue work when conditions are deemed unsafe, including but not limited to severe weather, aggressive animals, hazardous site conditions, inadequate access, unsafe electrical systems, unsafe propane systems, structural instability, or other circumstances that may place personnel, property, or equipment at risk.

Delays caused by weather, manufacturers, shipping providers, campground restrictions, site access limitations, supply chain issues, or circumstances beyond Sojourn RV Service's control shall not constitute breach of contract.

7. Parts & Materials

Parts supplied by Sojourn RV Service may be new, remanufactured, rebuilt, refurbished, aftermarket, OEM, equivalent, or superseded replacement components, as appropriate for the application.

When original equipment manufacturer components are unavailable, discontinued, obsolete, backordered, or impractical to obtain, Sojourn RV Service may recommend or install equivalent replacement components.

Material markups may apply.

Parts availability, manufacturer lead times, and shipping delays are outside the control of Sojourn RV Service.

8. Customer-Supplied Parts

Customer-supplied parts are installed without warranty of any kind.

The customer is solely responsible for confirming compatibility, completeness, condition, suitability, and correctness of customer-supplied components.

Labor required to diagnose, install, remove, replace, modify, adapt, test, or troubleshoot customer-supplied parts is billable regardless of part performance.

Sojourn RV Service reserves the right to refuse installation of any customer-supplied component deemed unsafe, defective, unsuitable, incomplete, incompatible, or otherwise inappropriate for the intended application.

9. Warranty & Warranty Claims

Sojourn RV Service warrants its workmanship for ninety (90) days from the date of service.

This warranty applies only to defects directly resulting from workmanship performed by Sojourn RV Service and does not extend to normal wear, manufacturer defects, abuse, neglect, misuse, freeze damage, road vibration, water intrusion, pre-existing conditions, customer modifications, unauthorized repairs, or conditions beyond the control of Sojourn RV Service.

If a part supplied by Sojourn RV Service is determined to be defective upon initial installation or during the workmanship warranty period, Sojourn RV Service may, at its sole discretion, repair or replace the defective component. One return visit to the original service location may be provided at no charge for labor associated with the defective component. Additional diagnostic time, travel, labor, or service visits may be billable. Manufacturer warranty terms, when applicable, shall govern replacement of the defective part.

Warranty claims must be reported directly to Sojourn RV Service and the customer must provide a reasonable opportunity for inspection and verification before any repair work is performed by others.

Unauthorized repairs, modifications, alterations, or replacement work performed by others without prior approval from Sojourn RV Service shall void any applicable warranty obligation.

Warranty service is generally performed at the original service location. Warranty service requested outside Sojourn RV Service's active service area or operating season may be subject to additional travel charges, scheduling limitations, or deferred service until Sojourn RV Service returns to the area. Any applicable warranty period shall be extended for a reasonable period to allow warranty inspection and service upon Sojourn RV Service's return to the area.

10. Third-Party Warranty Companies & Insurance Claims

The customer remains solely responsible for payment of all charges incurred, regardless of reimbursement, approval, denial, delay, limitation, or non-payment by any extended warranty provider, service contract administrator, insurance carrier, roadside assistance program, campground, dealership, manufacturer, or other third-party payer.

Diagnostic charges, inspection fees, travel charges, labor, materials, and authorized repairs remain the responsibility of the customer whether or not a claim is approved.

Any unpaid balance remains due according to the payment terms contained herein.

11. Payment Terms & Collections

Payment is due immediately upon completion of service unless otherwise agreed in writing.

Sojourn RV Service reserves the right to suspend or discontinue work for non-payment.

Invoices remaining unpaid for more than thirty (30) days may incur a $15 administrative fee plus a monthly finance charge of 2.5% on outstanding balances, where permitted by law.

Returned checks, ACH reversals, declined electronic payments, or other payment reversals may be subject to any fees, penalties, collection costs, and remedies permitted under applicable law.

The customer shall be responsible for all reasonable collection costs, attorney fees, court costs, mediation fees, arbitration fees, and expenses incurred by Sojourn RV Service in collecting unpaid amounts.

The customer agrees not to initiate a chargeback for services performed in accordance with approved estimates or work authorizations and agrees to first provide Sojourn RV Service a reasonable opportunity to resolve any dispute.

In the event of an improper chargeback or payment reversal, the customer shall remain responsible for the original invoice amount together with any fees, collection costs, attorney fees, court costs, or administrative expenses incurred by Sojourn RV Service in recovering payment.

12. Multi-Technician Services

Certain repairs, inspections, installations, diagnostics, component removals, slide-out repairs, awning repairs, roof work, lifting operations, safety-sensitive procedures, manufacturer-required procedures, or time-sensitive projects may require the use of multiple technicians.

When multiple technicians are assigned to a project, labor time for each technician is billable at the applicable labor rate unless otherwise specified in writing.

The use of multiple technicians may be necessary for safety, efficiency, quality control, specialized expertise, protection of customer property, reduction of overall project duration, manufacturer recommendations, or other operational considerations.

The use of multiple technicians does not necessarily increase the total labor required to complete a project and may reduce overall project duration, improve safety, facilitate manufacturer-recommended procedures, improve quality control, and reduce the likelihood of damage to the RV, its components, or surrounding property.

Customers will be informed whenever reasonably practical if a project is anticipated to require multiple technicians. However, Sojourn RV Service reserves the right to assign additional personnel without advance notice when necessary to safely or properly complete the work.

The determination of whether a project requires multiple technicians, support personnel, or specialized assistance shall be made solely by Sojourn RV Service based upon safety considerations, manufacturer recommendations, project complexity, efficiency, equipment requirements, and protection of persons and property.

Additional technicians may be employees, subcontractors, independent contractors, apprentices, trainees under supervision, or other qualified personnel acting on behalf of Sojourn RV Service.

13. Pre-Existing Conditions & RV Age

Sojourn RV Service is not responsible for pre-existing defects, damage, wear, corrosion, modifications, improper prior repairs, manufacturer defects, or conditions discovered during the course of diagnosis or repair.

RVs older than ten (10) years may contain brittle plastics, corroded fasteners, degraded sealants, obsolete components, undocumented modifications, concealed damage, or age-related deterioration.

Certain repairs require removal of components, trim, fasteners, sealants, adhesives, or assemblies that may be aged, brittle, corroded, previously repaired, or otherwise compromised. Sojourn RV Service is not responsible for incidental cosmetic damage or component failure resulting from necessary disassembly performed using reasonable care and accepted service practices.

14. Photography & Documentation

Sojourn RV Service may photograph, record, and document the condition of the RV before, during, and after service for diagnostic, training, warranty, quality control, insurance, recordkeeping, and operational purposes.

Photographs, videos, and documentation may be used for marketing purposes provided customer-identifying information is removed or obscured where reasonably practical.

15. Limitation of Liability

To the fullest extent permitted by law, Sojourn RV Service shall not be liable for any indirect, incidental, consequential, special, exemplary, or punitive damages, including but not limited to loss of use, loss of enjoyment, loss of travel, campground fees, lodging expenses, towing expenses, lost income, lost profits, business interruption, or similar damages.

Any liability arising from services provided by Sojourn RV Service shall be limited to the amount paid for the specific service giving rise to the claim.

16. Dispute Resolution & Governing Law

The parties agree to first attempt to resolve disputes through good-faith communication.

Any dispute arising from services performed by Sojourn RV Service that cannot be resolved informally shall be submitted to mediation prior to litigation whenever practical.

These Terms & Conditions shall be governed by and construed in accordance with the laws of the State of Michigan.

If any provision of these Terms & Conditions is determined to be unenforceable, the remaining provisions shall remain in full force and effect.
